Main Purpose of the role

The role of order coordination is to facilitate the progress of an order from when it is received into the business to despatching after completion of equipment manufacture or supply. This includes liaising with both internal and external customers to ensure accuracy of the initial order and to understand requirements of third-party equipment. To understand territory specific requirements around delivery, documentation required and specific country demands regarding customs. A coordinator must be able to multi task multiple orders at varying stages of progress. All events such as invoice raising, purchase order requirements, sending to customers documents such as drawings and especially despatch as each country has its own demands, must be delivered accurately and on time.

 

Primary Responsibilities

  • To manage orders for specified key accounts and territories, e.g. PepsiCo and Middle East
  • Accurately process orders ensuring that all information required is complete and correct.  To manage updates and changes throughout the life of the order.
  • Liaise with key personnel regarding orders to ensure an open working relationship where two-way communication is key, including attending kick off meetings.
  • Ensure that orders are always up to date, invoices raised on time, all required documentation requested in advance of required date and customers, internal and external are kept up to date.
  • Ensure all shipping is arranged in line with delivery dates and documentation requirements for specific countries.   
  • Be responsible for day to day management of a team of up to three people.           
  • To support the manager in the proactive development of efficiencies of processes and procedures both within OC and the company.
  • Support and assist the manager with any training required, specifically sharing personal knowledge and experience.
  • To deputise in the manager’s absence.

 

What skills are we looking for?

To be successful in this role you must have proven experience of working in a similar type of role with multiple tasks/orders/processes, the ability to deal with keys accounts/customers and internal stake holders at all levels, the ability to work independently but within a team, excellent communication and interpersonal skills and must be able to prioritise and organise to ensure all deadlines are met.

The ideal candidate must be self-motivated, have good attention to detail, good work ethic, supportive, customer focussed, approachable, must be an analytical/ logical thinker, enthusiastic and open to and can drive change.
