What is the purpose of the role?
To coordinate and facilitate the processing of orders from receipt to despatch in an accurate, timely and professional manner. To be responsible for an identified territory, to communicate with the territory personnel, customers and the appropriate internal personnel to ensure territory requirements and expectations are met.
Primary responsibilities
- To process new orders within 24 hours of receipt
- Check that all details are correct and required documentation is available
- Liaise with Production/IJ/IC/third party suppliers/projects regarding the completion dates of equipment
- Send appropriate order acknowledgment to the customer within five days of receiving the order
- Raise appropriate invoices within specified times
- Ensure all documentation is available when required, e.g. drawings, transport documentation
- Be proactive in monitoring all orders to ensure forecast dates are met and all tasks are completed on time
- Maintain regular effective communication with all stakeholders for each order
- Ensuring appropriate payments have been received before equipment is despatched
- Facilitate the shipment of all equipment related to a sales order
- Raising any commission invoices that are due to be paid to agents
- Close orders correctly and in a timely manner
What skills are we looking for?
The successful candidate must have be IT literate, be able to demonstrate good communication and interpersonal skills, the ability to work accurately with a right-first-time approach and be efficient with strong prioritisation skills. The role requires someone who can work to deadlines, is self-motivated, analytical and confident to question when details are incorrect or missing.
The ideal candidate will have knowledge and experience of selling or transporting goods outside of the UK, including dealing with international customers or countries. They will be polite, friendly, approachable, willing, and helpful, with a strong team-player mindset. The ideal candidate will show initiative, enthusiasm, and a strong work ethic, alongside a willingness to learn. They will be adaptable, flexible, and able to thrive in a fast-paced environment while maintaining accuracy and professionalism.
